How can we help?
Quick answers about setting up and running your agency on PropShield.
Getting started
How do I set up my agency?+
Sign in and follow the setup steps: add your agency details, then invite your staff. You can add branches later from Branches.
How do I invite staff?+
Go to Team, enter their email and choose a role. They join automatically when they sign up or sign in with that email.
Can I bring data from my old system?+
Yes. Open Import, upload a spreadsheet (CSV or Excel), match the columns and review. Each row is checked and duplicates are refused.
Properties & tenancies
How are properties organised?+
Each property can hold units and rooms, so houses, HMOs, blocks and commercial units all fit one structure.
How do landlords and tenants get access?+
Invite them from their record. They see only their own properties, tenancies, documents and repairs.
Repairs
How do tenants report a repair?+
From their portal. The report appears in Repairs for your team to triage and assign a contractor.
Can a quote be changed after it's sent?+
No. Submitted quotes are locked. Contractors send a revised quote instead, so you always see the history.
Compliance
How does PropShield work out what's due?+
From each certificate's expiry date and your reminder period. Items show as compliant, due soon, overdue or missing.
Can AI read certificates?+
AI can suggest dates and details from an uploaded certificate. A member of staff always checks and saves them.
Rent & accounts
How are arrears tracked?+
Rent charges and payments are kept separate. Arrears cases open and close automatically each day using your grace period and minimum balance.
Can mistakes in the accounts be deleted?+
No. Posted entries can't be deleted — you post a correction instead, so there's a full trail.
Why does a payout need a second person?+
Landlord payouts and bank-detail changes need approval from someone other than the person who requested them.
